The CorasWorks Email Notification capability is people-driven. This approach is sometimes referred to as "ad hoc workflow." This means that a person directs the flow of the work, which is the most flexible form of workflow. It is now very easy for you to integrate your information with your process of getting the work done.

The Email Notification capability is tied to lists and libraries and becomes part of the structure.  Whenever a record is saved or edited, an email can be sent based upon criteria in the item and the configuration.

Key notes about this capability are:

  • Any of your lists and libraries in SharePoint can be email-enabled.
  • You can develop individual messages for each action that is sent with the email, all in one step.
  • You can support automated notification of simple workflow procedures, and develop custom processes that support multiple emails as they apply to multi-stage processes with separate recipients, whether or not they have access to the workplace.
  • You have the option to maintain an audit history of your activity. Each time an email is sent, an entry can be made to record the history and any details for the action. This is very useful to track activities on tasks and contacts.
  • It includes an Email Notification wizard that allows you to pre-set the format of the email, including custom HTML, fields of data in the body, and the criteria for when an email is sent and to whom.

Note that with Summer 2006 and Winter 2007, you have a second option for emailing. Using actions, a user can select any items and send an email. Using the action email form, they can select who to send it to and enter the subject and the body. All of the items selected can be included in a single email. Alternatively, the content of the email can be pre-set in the background, in the action definition.
